About the PTO/Vacation Accrual Calculator

Calculates how many PTO/vacation hours you've accrued to date from a linear per-paycheck accrual rate, your pay frequency, and how many pay periods have elapsed — then subtracts hours already used.

How to use it
  1. Choose whether you know your annual PTO allowance or per-paycheck accrual rate directly.
  2. Enter your pay frequency and pay periods elapsed since your accrual year started.
  3. Enter PTO hours already used, and an accrual cap if applicable.
  4. Read your PTO hours available now.
Formula
Accrual per paycheck = annual allowance ÷ pay periods per year. Accrued to date = accrual per paycheck × pay periods elapsed, capped at the accrual cap if set. Hours available = accrued to date − hours used.
Worked example

A 120-hour annual allowance, biweekly pay, 13 periods elapsed, 16 hours used: 60.0 hours accrued, 44.0 hours available.

Interpreting your result

This models a simple linear accrual, the most common US structure. It doesn't model front-loaded PTO, tenure-based accrual-rate increases, or year-end forfeiture.

  • An accrual cap means you stop accruing until you use some down.
  • Front-loaded PTO plans grant the full year's balance upfront instead of accruing gradually.
  • A negative-balance warning means you've used more than technically accrued.
